How to create an online sales invoice

Turn an order from social media or an online marketplace into a PDF invoice for your customer.

  1. Online orders often spread information across messages, an admin panel and a delivery app. A separate invoice lets you and the customer check the products, quantities and amount together.

  2. Copy the customer's name and contact details carefully, then add each product with its quantity and price. Keep shipping, discounts and surcharges as separate lines.

  3. Add the marketplace order code to the notes. When a customer asks a question or you reconcile the order, that code is faster than searching through a conversation.

  4. Check the total before exporting the PDF. If the customer's payment differs from your payout because of marketplace fees, record that fee internally instead of changing the product price.

  5. Download the PDF and send it by email or messaging app. Keep a monthly copy so you can reconcile delivered orders and revenue later.
